Employer Enrollment Options

Enrolling in a Health Savings Account (HSA) is convenient for you and your employees with our various enrollment options. Each option is designed to meet the different needs of participating groups. Group Online Enrollment Tool (GOE)

The fastest and most convenient method for employers is the GOE tool. You choose a set-up option (either Post Approval or Pre-Approval) that determines when your employees enroll and how their applications are approved. We will provide you with a custom enrollment link in the Employer Admin Site.

Post Approval

(Best suited for small companies) After you share your custom enrollment link with your employees, they will complete an easy online application. You will have the option to either approve or decline their applications in the Employer Admin Site.

Pre-Approval

(Best suited for mid and large sized companies) You initiate the process by uploading an employee census file prior to the enrollment period. You can access a template of the census file in the Employer Admin Site. After you upload the file, you can share your custom enrollment link with your employees.

Auto Enrollment File

With our Auto Enrollment File, you can easily enroll all of your employees in an HSA. It's as easy as uploading a Microsoft Excel (CSV) file. Here are the steps:

  1. Log into the Employer Admin Site
  2. Choose "Auto Enrollment File" from the "Enrollment" option in the menu
  3. Download the Auto Enrollment File template.
  4. Enter the required data in the template and save it as a CSV file
  5. Upload the completed CSV file

If your Auto Enrollment File meets the necessary requirements, it will be uploaded and processed within two business days.

Electronic File Format

This process allows you, or a third-party, to open an HSA for your employees by submitting an electronic data file to HSA Bank's FTP server. We will open the accounts based upon the employees' intent, which will vary by employer. Examples of employee intent include a checkbox on the benefits enrollment system or a request to make payroll contributions to a HSA. Once we receive the electronic file and verify the identity of each employee, we will open the account. The electronic file must contain each employee's name, date of birth, street address, and Social Security Number.

Standard File Exchange

Standard File Exchange allows you to provide enrollment files in a standard file format established by HSA Bank.

Custom File Mapping

Custom File Mapping allows alternative file formats to be submitted.

Paper Enrollment

Your employees can complete and submit a paper application. We recommend that you pre-fill the application with your Federal Tax Identification Number to allow for proper tracking to your group. Paper applications require two to three business days to process after receipt.

Note: If you are working with an agent or third-party administrator (TPA), please contact that agent or TPA to ensure all proper tracking information is included or available to your employees.
